Why is Companies House refunding DVD-ROM bulk shareholders lists?

Companies House introduced a new DVD-ROM bulk shareholders list product on 15th June 2008. A review of our system highlighted that we been overcharging customers for the DVD-ROM product. Customers were charged £12.50 instead of the correct advertised fee of £8.50, an overcharge of £4.00. As a result Companies House changed its systems from the 11/08/2008 and customers are now being charged the correct fee. A refund will be issued to all customers who have been overcharged for the DVD-ROM product between 15/06/2008 and 09/08/2008 inclusive.

Are all DVD-ROM overpayments between 15/06/2008 and 09/08/2008 entitled to a refund?

Yes – any customer who has purchased the DVD-ROM product between the above dates, and was overcharged, will be entitled to a refund.

How do I receive a refund?

We will check our finance systems and manually refund customers who have overpaid for the DVD-ROM product.

I haven’t received my refund yet, what do I do?

We may not hold electronic payment details of your purchase and as a result have not manually refunded the overpayment. If you have not received a refund for the DVD-ROM product by 1st October 2009, you should contact Companies House providing proof of payment.

Are there any other DVD-ROM products that are entitled to a refund?

No- Only DVD-ROM bulk shareholders lists sold on or after 15th June 2008, where the customer has been overcharged, are entitled to a refund. There are no other circumstances under which a refund for this product would be authorised.

What information do I need to provide in order to apply for a refund?

Applications for refunds must be in writing and should include the name and registration number of the corporate body as well as the following bank and cheque details:

Cheque number - which was used to purchase the DVD-ROM!
Cheque Amount
Date banked

In addition a copy of the invoice slip will be required.

Please note: If you have paid for a DVD-ROM bulk shareholders list on behalf of a third party, legal guidelines make it clear that claimants should take steps to identify their clients in order to pass on the refund. Therefore, Companies House needs the following paragraph to be included in the written refund application if you are claiming on behalf of a client:

“I/we confirm that I/we will take all reasonable steps to identify our client(s), and return all refunded monies to them.”
